Description:

Paychex Payroll is a hosted payroll solution that can be customized to meet a company's needs. The interface is fairly easy to use and the service can automatically handle tax submissions and report filing. There is  a dedicated Payroll specialist available to answer questions about the service. Paychex costs a bit more than most of the other payroll services, mostly due to the additional features it offers.

Paychex is horrible

One of the worst experiences with a company I have ever had. Their customer service is horrible. They got me with a cheaper rate but that doesn't last. They raise every couple of months and I had no change in my # of employees or services. I have been using them for just under a year and I have had 4 different specialists. They didn't pay enough to both states that I operate in and I had pay fees and penalties. They said it was my fault but wouldn't tell me why it was my fault. When you call them out on their mistakes they become very confrontational, including the managers. I have spent so much time on the phone trying to get my billing corrected and find out why the states aren't being paid and reports not being filed, that it has probably cost me thousands of dollars.

Paychex cost my company 30k. BEWARE!

We are a small dental practice in Orange County Ca with 10 employees. Our experience with Paychex has been terrible and very costly. Mistakes are common. Customer service is poor. The payroll "specialists" are generally low paid, overworked, uncaring, and uneducated. Our accountant recently performed an annual audit of our records and found an error line item with no description attached on one of our employees. This error caused an overpayment of over $30,000 over the course of 18 months. Paychex first blamed my employee for being dishonest and not bringing the error to our attention (my employee thought he was given a raise). Then they blamed me for not catching it (if I had time to review all payroll records each pay period, I wouldn't need a payroll service). You would think after being a loyal customer for the past 12 or so years that they would offer to compensate for at least part of their error. No chance. Lawyers are now involved. My advice as a small business owner, stay away from Paychex. They may have been a good company 10 years ago, but not anymore.

Paychex has a full suite of integrated services that many payroll providers can't manage. I would recommend Paychex to anyone that owns a small to midsize business. Customer service is excellent.

Payroll setup with Paychex is relatively easy. Your sales person will help you gather all of the needed documents and forms and work hard to set up the account to get it running. Appreciate that this person is only paid with commission and that if you don't run at least two payrolls they don't get paid. Once the basics are in and your sales person has been paid you are handed off to a department that seems to be perpetually on the phone with clients and are very difficult to get in contact with. These are hourly people so the overkill service that brought you to the company is gone. You will receive a basic rudimentary training on the online platform and then are pretty much on your own. You will have an assigned payroll specialist to help you but it is hit or miss as to their abilities and knowledge. Turnover is high in these departments and sometimes you get a good one, that is worth more then you pay for Paychex service, and sometimes you get a bad one. Prices are constantly fluctuating and it is hard to keep a specific budget. Every error that you make doing your own payroll costs you money to fix. The system will work basic integration to accept downloads of time data from various sources as long as your source can produce a .csv file. Integration to portable devices is hit or miss at the moment, some work but many don't. Overall the software is still in a start up phase and has a long way to go. Basic payroll information functions but many services are not intuitive and you will need help to make it work. Don't forget that if you do this on your own and make a mistake that Paychex will charge you for any fixes that must be done to your accounting information. The only fix method available is to run several additional payrolls to back out information and re-enter it correctly. Consider the average price of 75.00 per pay run and you have 12 messed up checks then you are paying for 12 runs to back-out the information and 12 more to re-enter it in again, that would come to 1800.00. There are additional fees to amend any incorrect tax forms due to the error as well. They have just also enacted a new fee if you ever want to close or move your 401K. As of 6/1/12 you will pay a fee of $1,200.00 to close out your account. If you thought getting to your online payroll specialist was difficult try working with their 401K department. I strongly advise you to run, and run fast.

We utilize the Paychex Preview software and have done so for 5 years. The setup was quick and efficient. The support and training is superior. We have been completely satisfied with this product and the Paychex support staff.
